SMS BLAST SINGAPORE
SMS Blasts are a very important feature for all schools. SMS Blasts are critical for schools to make time sensitive information, with the highest assurance that the recipient will receive the message. Receiving SMS does not require the recipient to download any mobile application, and neither does it require the Recipient to have strong Wifi or data connectivity. Therefore, even though SMS Blasts are generally more costly to send out each time, it is still the most sought after method.

Our School Admin System SMS Blast Module can be used in 2 ways.

(1) Standalone. It can be used as a Standalone system for the school to create SMS messages to be blast to a target audience. It could be a certain group of teachers, parents, or students. For example, during the years when Singapore was affected by the haze badly, it was common for urgent notices to be sent to students and parents at the very last minute, that school was going to be cancelled.

(2) Integrated with other School Admin System Modules. The SMS Blast Module can be integrated with other modules for SMS notices to be sent. For example, it can be integrated to the Relief Teaching Planning Module. In this example, the school uses the Relief Teacher Planning Module to plan the Relief Teaching duties of teachers. When teachers are scheduled for duty, the system will trigger the SMS Blast Module to inform the teachers of their duties via SMS.

The SMS Blast module is therefore a very flexible system that can be used in many ways. If you would like to find out more about our SMS Blast module, feel free to contact us for one of our friendly consultants to tend to you.

STAFF ATTENDANCE SYSTEM
Staff attendance systems have evolved over time. Recent trends in the past few years have been in biometric systems, where teachers will need to scan their fingerprints to mark their attendance. These attendance stations can be positioned near to doors, and can double as door access systems at the same time. This means, that when teachers scans their fingerprints to mark attendance, their identification for that particular door can also be verified and the door will unlock for them. This basically kills two birds with one stone.

However, with the recent COVID-19 occurrence, people are moving away from physical contact, so staff attendance systems may evolve to other contact-less solutions.

RELIEF TEACHING PLANNING MODULE
Relief Teacher planning and scheduling is a very tedious task. What makes it most challenging is that this planning cannot be done early, because teachers absence will only be known on that day itself. Relief Teaching Planning therefore has to be executed at the very last minute, and at an efficient pace.

For example, a school may start at 07:20AM in the morning. Teachers must therefore all be ready to tend to their classes. However, it is also in the morning where teachers begin to inform the school that they will not be able to be present, due to illness, emergency leave, or other reasons. The school will therefore need to do the following:
(1) quickly consolidate all the absent teachers list for the day
(2) study the timetable of other teachers, and see which teachers will be available to perform Relief Teacher duties.
(3) inform these teachers quickly so that they will be aware of their newly allocated duties.

The Relief Teacher Planning module therefore helps to make this process faster, and more fair.

Fast - The Relief Teaching system will already have all the timetables of the teachers. Therefore, it will be able to automatically allocate a relief teacher.

Fair - The Relief Teacher system will also be able to track the history of teachers performing Relief Duties, and be sure to prioritise other teachers that have performed lesser duties.

Our School Admin System Relief Teaching Planning Module is most commonly used together with our SMS Blast Module. This allows SMS notices to be sent to Relief Teachers in a time sensitive manner. For example, if the school uses the Relief Teacher Planning Module to plan the Relief Teaching duties of teachers. When teachers are scheduled for duty, the system will trigger the SMS Blast Module to inform the teachers of their duties via SMS.

EDUCATION IT CONSULTING
Is NCODE Consultant an Education IT Consulting company?

Well, i must say, not totally. This is because, while we do have many IT Systems for schools, these IT Systems are not teacher or learning related. They are not Learning Management Systems. Therefore, to call us an Education IT Consultant, may not be accurate.

In general, all our IT Systems in Schools are actually Administration related. IT Systems that can help teachers to complete their administrative tasks faster, so that they can move on to focus on teaching more. One example is the Relief Teaching Planning system, to show how teachers can save time by using technology to achieve a previously manual and tedious task.

We would therefore consider us more of a Productivity IT Consultant in Schools, rather than an Education IT Consultant.

CCA ALLOCATION SYSTEM
The CCA Allocation System is most commonly used by Primary schools and Secondary schools in Singapore. When new students enter the school at Primry 1 and Secondary 1 respectively, they will all have to take up a CCA. This CCA selection process can be quite tedious.

(1) The school may require students to go for audition for some CCAs. These auditions have to be scheduled, and students have to register for these auditions. Due to time constraints, only a limited number of students can apply for each Audition session, or else, more audition sessions will have to be scheduled.
(2) When making CCA Choices, the school may also want to give students more than 1 choice, for example, 3 or 6 choices.
(3) The teachers then have to take into the account the above audition results and CCA choices, and allocate the students to the best fit CCA, knowing that each CCA also has a limit to the number of students that can take it up.

The CCA Allocation System helps to facilitate the above process. Students can make their choices online, and the system will also inform them of their results via email.

EPURCHASE REQUISITION SYSTEM (EPR)
ePurchase Requisition systems are commonly used by government and independent schools in Singapore.

ePurchase Requisition systems first gained popularity when schools realised that they had troubles tracking all the AORs in the school and their utilization rates. Teachers often did not manage this properly, and had to go back to the Procurement team for help. This adds to the Procurement Team's workload.

Also, as teachers struggle to manage and track their AORs, this just means that they will have lesser time to focus on what they are supposed to do, TEACH!

Therefore, the ePurchase Requisition System was created. Today, the ePurchase Requisition system has evolved to include not only the tracking of AORs and Utilization Rates, but also allows the submission of AOR forms with online approval workflows.

The ePurchase Requisition System can also be linked to the following Modules.
- eBudgeting Module. This helps to ensure that all AORs belong to a Budget, and that AORs cannot exceed the values of approved budgets.
- Contract Module
- Payment & Reimbursement Module

FAULT REPORTING SYSTEM
The Fault Reporting System has become a fundamental system for all schools today. In the past, people had to fill up hard copy forms in order to report faults. Today, Fault Reporting Systems have evolved into electronic form, and also mobile applications so that users can easily snap pictures of faults and report them. The Fault Reporting System often comes together with the Facilities Booking system under our overall NTRIX School Admin System.
FACILITIES BOOKING SYSTEM
The Facilities Booking System has become a fundamental system for all schools today. Facilities often refer to the various school venues like classrooms, science labs, halls, and other various facilities that cannot afford to be double booked. The Facilities Booking System therefore allows users to book the facilities that they require in advance for proper planning. The Facilities Booking System often comes together with the Services Request System under our overall NTRIX School Admin System.
SERVICE REQUEST SYSTEM
The Service Request System is often directed at the Operations team of the school. It is also often used together with the Facilities Booking System.
When users book a particular venue, they may usually require other assistance with the venue. For example, the teacher may require all the tables and chairs in the hall to be arranged in a particular manner for exams. Or, the teacher may require ipads and projectors for a particular lesson in the the science lab. These requests are put through the Service Request System so that the Operations team can support the needs required.
